Attention all cooks

We are seeking donations for this years Staff Day Food Auction. It will be held Wednesday, June 4th from 1:30 – 2:30 p.m. in the Havener Food Court. This year we are looking for dinner items as well as baked goods. We already have donations for smoked ribs and twiced baked pototoes, gooey butter cookies, strawberry cheesecake. Please contact Mendy Kell at mkell@mst.edu or extension 7140 to let her know if you would be willing to donate something. Donations will need to be dropped off the morning of Staff Day between 7:30 – 8:30 a.m. at the loading dock at the Havener Center.

Staff Council Minutes – 4/08/2008

Opening
The meeting was called to order at 10:00 by Chair Christopher Dew. The meeting was held in St. Pat’s Ballroom of the Havener Center.

Minutes from the March meeting were read and approved.

Treasurer’s Report:

Special Events (Staff Day) - $2289.52
Activity: $3.10 for folding letters for staff recognition awards for non-computer user staff.

Old Business
2nd annual Staff Open Forum – May 19, 2008 – Carver/Turner – 11 a.m.
Wellness day – Retirees will offer assistance to Student Health. Volunteers are still needed. Contact Amy Cravens, Wellness Director, if you can help.
June 24, 11:00 to 4:00 is the Blood Drive. Volunteers are still needed. Cecilia will be the coordinator.

New Business
Chris shared some e-mails that were sent to him from employees addressing staff importance and the early out retirement. He also shared a suggestion that was made after the contaminated water incident, that in the future a template for alert signs be used as “attention getters”. The ICE (emergency) web site contacts need to be updated. Chris will share the complete e-mails with anyone wishing to see them.

Chris, Cecilia, Joyce and Robert met with President Forsee when he was on campus. He shared his vision for the campus. He is very much focused on Pre-College Programs, for Pre K- 12 students. His message is we are here to support the students. He wants to make a difference. SC shared their 5 action items with him: salary & wage, 85 and out retirement, career path – training opportunities, shared sick leave and morale. SC asked how they could help him and he replied communication. He seems interested in the issues and the meeting was encouraging.

The question was raised, “If the President takes an item for approval to the Board of Curators, does it usually get approved?” Historically the board goes with the recommendation of the President.

A draft of the Open Forum Agenda was reviewed and approved. Wade shared a copy of the cards that will be used to submit questions.

238 have responded to the staff survey. Results will be shared with SC members this afternoon.

Chris will meet with Shenethia Manuel, new HR Director on the format for the open forum which she will participate and also discuss appointing an HR person as an Ex-Officio member of SC.

There was discussion on having “Staff Week” vs. “Staff Day”. Staff Week could consist of having one activity each day such as a mini seminars or a fun activity. Some suggested seminar topics that could be presented: financial planning, preparing for retirement, emergency preparedness. A perks fair where vendors that offer discounts to Missouri S&T employees could come in and display their services was also discussed. “Dunk Your Boss Day” was suggested as an option for a fun day serving popcorn and soda. It was decided that there would be a Perks Fair on Monday at the Havener Center and a “Dunk Your Boss Day” at the Hockey Puck on Tuesday before Staff Day. Mindy will get stickers that say “I dunked my Boss”. Dean will reserve space for Perks Day and Brenda will speak to Jim Duncan about using the area around the puck for the dunking booth. Robert will reserve the dunking booths. The dunking booths will need to have about 12 administrator volunteers for dunking. Send any suggestions to the STAFCO mailing list.

Charlotte Lewis mad a suggestion for SC to support a program to buy shoes for children of the countries where Engineers Without Borders are doing work. It is difficult to get supplies into some of these countries. A solution may be to find an organization that is established in these countries and send the money for them to purchase the shoes. Melissa, Chair of the Charitable Awareness Committee will meet with Charlotte Lewis and will make a presentation to SC on supporting this project.

A request for SC to fund a time management seminar was discussed. Amy is still working on professional development issues. HR will need to manage these programs.

The Professional Development survey will be distributed after the Open Forum on May 19.

SC members will receive staff day shirts free of charge with “Staff Council” on the sleeve. Please send Melissa your size so she can order.

Chancellor’s Council - none
Crisis – No official report, except to extend thanks to SC members and building coordinators who helped post signs and distributed water last week during the water crisis. The committee will meet April 22.
Faculty Senate - None
ICSC – Chris read a response from Interim VP of Human Resources, Blake Danuser, on current issues that was presented at last meeting.
Information Technology Computing Committee- none
Name Change – Still working on logos with department names and addresses. Any suggestions or questions let Mindy Limback know. There are rules about using the Missouri S & T logo on the Communications Department Web page.
Parking – None
Personnel – The items discussed are the responsibilities, evaluation and participation of NTT (non tenure track) vs. tenure track faculty. There has been some concern expressed that NTT faculty have been allowed participation in events that were exclusive to TT faculty and the Personnel Committee is trying to determine where the line should be drawn. We have been communicating with the VPAA on this matter and it is still unsolved at this point. Another meeting is scheduled on Friday.

The meeting was called to order at 11:00 by Chair, Chris Dew. The meeting was held in St. Pats, Ballroom of the Havener.

Old Business
Chris discussed the Advancing Excellence Campaign that was presented to SC by Greg Harris last month. Greg requested some time at the Staff Day awards ceremony to recognize participants and also wanted to have a breakfast as part of Staff Day activities. It was decided that Greg will be given time at the program to recognize participants, but the breakfast will be scheduled for another time.

There have been 156 staff council surveys completed. The survey is open to participants till the 21st. SC members were asked to send reminders to employees in their department reminding them to complete the survey.

A Professional Development survey will go out after the Open Forum in follow-up to questions concerning staff development on the staff survey. The majority of staff is interested in staff development according to the results we have received thus far. Amy is on the reaccredidation committee, and would like to include a chapter on Professional Development in the reaccredidation information.

There will be several unable to attend next month’s meeting on April 9th, so the date will be changed to April 16th.

Cecilia will coordinate the blood drive.

Retirees will help with staff day.

Chris will also talk to Jamie Archer from the retiree’s association about helping with Wellness Day.

The incident with the nurse practitioner not being covered by Coventry has been resolved.

New Business
Joyce will schedule a planning meeting for the open forum. The open forum will be May 19 in the Carver/Turner Room. Staff Day will be promote at the forum. The Chancellor and the new HR Director will attend.

Staff Day: Dean has found photos from the achieves from the 60s to use for Staff Day. Melissa will have shirt samples in a couple of weeks. Shirts will be on display at the open forum and a couple will be given away as door prizes. The Open Forum will also serve as a time to encourage staff to volunteer for Staff Day. The entertainment committee is busy working on the video. The video will contain “Kids Say the Darndest Things” with Dr. Schonberg portraying Art Linkletter. Austin Powers will make an appearance. A volunteer is needed for someone to be Austin Powers. The costume will be a raffle prize. Anyone having pictures of employees in the 60s submit to Amy. An i-Pod and free parking will be part of the raffle. If anyone can find a Nintendo Wii for a door prize, purchase it and you will be reimbursed. There was discussion about closing offices for the day. The Chancellor sends out a memo encouraging everyone’s attendance at some time during the day. Offices will still need to remain open. There will be events scheduled throughout the week. Chris will check into mini seminars lasting an hour or so. The question was asked if the ALDP professional development training could be done during staff week. Someone will be hired to do the training and this will be targeted towards middle management, so it would not be available for all staff. Some other ideas: HR retirement sessions, ALICE training from University Police, FERPA from Admissions. Another idea was to have merchant booths.

The Jan Buhlinger award was voted on. Joyce will order the plaque.

Old Business
Second annual staff forum to be held at 11:00 on Monday, May 19, 2008 in Carver/Turner Room at the Havener. Results of the staff survey will be discussed and Staff Day will be promoted. Chancellor and HR Director will attend. HR Assistant Director will be invited.

ALDP Professional Develop Project will conduct a one day conference for mid-level managers. The group has met with the Chancellor and Steve Malott. Chancellor supports this project, has provided funding, and has committed to making it a standing program through HR and expanding it to all levels of employees.

New Business
Greg Harris, Sr. Development Officer gave a presentation on giving to Missouri S&T. Development will be rolling out a campus community campaign in March and would like to use staff day to announce the results. He would need approximately 5 minutes at the awards presentation ceremony to talk about the employees that are contributing to Missouri S&T and encourage others to give. He is also considering having a donor breakfast in Havener Cafeteria in conjunction with Staff Day. Greg will be announcing the campaign at departmental meetings. If anyone has any suggestions or questions let Greg know.

There are still some issues with the staff survey and the professional development questions that will be part of the survey. It will be going out soon.

Blood Drive- Cecilia and Chris will coordinate. It will be held in the summer. Jamie Archer from the Retirees Association offered their help. She also indicated that they would be willing to help with Staff Day. If you have needs where they can assist let Chris know.

Wellness Day (held in April) – Ashley Mattli, Wellness Coordinator wants to turn Wellness Day over to Staff Council to coordinated. SC felt they did not have the time or man power to do this. Chris will check to see if the Retiree’s Association would want to get involved with this project also.

Mendy Kell brought up a concern with Coventry, the new medical insurance administer. Nurse Practitioner at St. John’s are not covered by the plan. Chris will talk to Connie in HR and will bring up at ISCS.

Crisis – The incident at the college in Illinois underscores the need to sign up for mass notification. The test on January 31st was a success. There was a note from the New President (Gary Forsee) encouraging everyone to sign up.

Faculty Senate - SB389 Bill passed which allows information to be posted on-line concerning faculty's credentials, student comments, rating of courses, teaching assignments, teacher evaluations, etc. Implementation will be made after reviewing how other campuses proceed. New Computer Science department Chair is Dr. Ali Hurson. Spring 2008, there will be two separate commencement programs due to the large number of graduates. Friday, May 16th, Graduate program, 6:00 pm in the Multi-Purpose Bldg.; Saturday, May 17th, Undergraduate program, 11:00 am, in the Multi-Purpose Bldg. Dept Name change; Business and Management Systems joined with Information Science and Technology to be named: Department of Business and Information Technology. Second graduate level minor approved in Technical Communication discipline.

Staff Day Activities – Marilyn Licklider has volunteered to help with door prizes. Deb will ask a couple of employees in Registrar’s office if they could also assist with solicitation. Other volunteers are needed. Amy and Charlotte Lewis have begun meeting on the morning entertainment for the awards ceremony. Shirt design was voted on and approved. Printing on white shirts keeps the price lower. Possible menu, using a TV dinner theme, meatloaf, fried chicken, pot pie, a veggie choice, mashed potatoes, veggies, fruit cobbler and cheese fondue. Nintendo Wii is an idea for a raffle prize. Nominations were taken for the Buhlinger award. A vote will be taken next month. Discussion on the breakfast for the Campus Campaign (as presented by Greg Harris) – this may be too much activity for Havener for the morning. All staff may think they are invited to breakfast. Can Chartwells handle all activities on one day? It was decided to have refreshments at the morning program, bagels, coffee, etc. We did not have this last year. Robert will be contacting the departments for cash donations. IT will donate some electronic gadget.

Staff Development – ALDP Program to be announced soon.

Staff Excellence Awards – SC members are needed for the committee. Melissa volunteered to help. Mail any additional nominations for Jan Buhlinger award to Joyce and a vote will be taken next month.
